About Project

Who Was the Client?

Capsure is an Australian SaaS platform built for self-managed NDIS participants and nominees. The product helps users organise provider invoices, prepare claims, track payments, and reduce the administrative burden of managing an NDIS plan.

Synterra worked closely with the founder and product team to design and develop the platform from the ground up.

What Was the Client's Request for Collaboration?

The client wanted to simplify the complex process of preparing and submitting NDIS claims. Synterra was asked to build the complete platform from scratch, including:

  • A React web application
  • A Django backend
  • Automated invoice collection and data extraction
  • A Chrome extension for claim form auto-fill
  • Subscription management with Stripe
  • Invoice, claim, and payment tracking

What Was the Client's Bigger Business Goal?

The bigger goal was to reduce the time and mental load involved in NDIS self-management.

Capsure needed to transform a repetitive manual process into a clear workflow where users could:

  • Receive and organise invoices
  • Review automatically extracted information
  • Auto-fill NDIS claim forms
  • Track claims and provider payments
  • Keep searchable records for future reference

At What Stage Was the Client's Project?

The client had the product idea, business requirements, and industry knowledge, but no existing platform.

What was missing:

  • Product design
  • Web application
  • Backend infrastructure
  • Automated invoice processing
  • Browser extension
  • Subscription system
  • Claim and payment tracking

Synterra took the project from initial requirements to a production-ready product.

What Was the Expected Outcome?

  • A complete NDIS self-management platform
  • A dedicated invoice email address for each user
  • Automated extraction of invoice details
  • A dashboard for reviewing and correcting data
  • A Chrome extension that auto-fills NDIS claim forms
  • Automatic claim status synchronisation
  • Stripe subscriptions and payment management
  • Secure document storage and searchable invoice history

How Was the Result Measured?

The product was validated through:

  • End-to-end testing of the invoice-to-claim workflow
  • Accuracy of extracted invoice information
  • Reliability of browser extension auto-fill
  • Synchronisation between the extension and web platform
  • Successful Stripe subscription flows
  • Client review and production testing
  • Feedback from early users

The platform successfully progressed from concept to production launch.

How Did the Collaboration Work?

Synterra worked as the client's product development team, covering:

  • UX/UI design
  • Frontend development
  • Backend development
  • Browser extension development
  • QA and automation testing
  • Infrastructure and production releases

Features were designed, reviewed, developed, tested, and released iteratively in close collaboration with the client.

Challenges

Extracting Data From Different Invoice Formats

Provider invoices used different layouts, terminology, and document formats.

Solution: Built an automated extraction workflow with user review and editing before claim submission.

Routing Invoices to the Correct User

Every user needed a dedicated address for receiving invoices from multiple providers.

Solution: Created unique email addresses and automated invoice routing into the correct account.

Auto-Filling Government Forms

The browser extension needed to identify fields and transfer invoice information accurately.

Solution: Built a Chrome extension connected to Capsure that selects invoice data and fills the NDIS portal form automatically.

Preventing Data Loss

Users could lose changes because of connection issues or interrupted workflows.

Solution: Added automatic saving and reliable synchronisation between the web application and extension.

Simplifying a Complex Process

The workflow needed to remain understandable and accessible for people already managing significant administrative pressure.

Solution: Designed a clear status-based workflow covering invoice review, claim preparation, submission tracking, and payment management.

Achievements

How Did We Add Value Beyond Delivery?

We contributed to product strategy, workflow design, and technical decisions, not only development.

Our team helped turn a complex administrative process into a simpler step-by-step experience, identified opportunities for automation, and proposed improvements based on real product usage.

We also built automated end-to-end tests covering the platform's critical workflows, helping the team release changes with greater confidence.

What Was the Result of Our Collaboration?

Before:

  • No existing digital product
  • Manual invoice organisation
  • Manual entry into NDIS claim forms
  • No central claim or payment tracking
  • High risk of errors and missing records

After:

  • Complete React and Django platform delivered
  • Automated invoice collection and data extraction
  • Dedicated invoice email address for every user
  • Chrome extension for NDIS claim form auto-fill
  • Invoice, claim, and provider payment tracking
  • Stripe subscription management (individual, family)
  • Secure document storage and searchable records
  • Production-ready platform built from the ground up
